Currently we are handling two running projects from EU in Indonesia, i.e. Trade Support Programme II (TSP II) and ASEAN Regional Integration Supported by EU (ARISE).

PT AETS Indo Pacific is looking for a project officer for ARISE Project with several requirements as follow:

Responsibilities:

The Project Officer will work under the supervision of the ARISE Team Leader.

To execute his/her duties, the Project Officer will be supported by one (1) Accountant Assistant based in the local AETS office (AIP).

The Project Officer will:
a) Support the Team Leader and the AETS project manager in the administrative, organisational and logistical organisation of the activities:
– coordination with the partner administrations – ASEAN Secretariat and ASEAN Member Countries;
– Organisation of the Experts missions in Jakarta and in the ASEAN region (agenda, interpretation, hotels);
– Organisation of group meetings and study visits : travel and accommodation of the participants, assistance to experts and participants for visa requirement, recruitment of interpreters and translators, provision of necessary meeting room, equipment and staff);
– Managing the filling system (electronic & paper);
– Managing Office Supplies;
– Formatting Reports and Document;
– Preparing the mobilisation & demobilisation of all experts (procedure, approval, etc.);
– Liaising with the EU Delegation in Jakarta as and when required. Maintaining all documentations to ensure compliance with EUD procedures;
– Organise the Team Leader and experts missions. This includes and not limited to tickets, hotels, meeting and correspondences.

b) Contribute to the technical and financial reporting of the Project under the supervision of the Team Leader and in close relationship with AIP. This concerns foremost:
– the follow-up of the timesheets of all experts of the project;
– assistance to the Team Leader in the reconciliation of all technical reports and deliverables of the project for the production of contractual interim reports;
– Assistance to AIP in the reconciliation of all transactions made from the incidental budget (including collection of the supporting documents) and subsequent monitoring and reporting;
– Maintain the project website, including the upload of all relevant project documents, calendar of events and news stories.

c) Perform any additional ad hoc tasks as required by the Team Leader and perform other related duties consistent within the job description and the post.

Profile of the Candidate:
– Education level: University Degree in Economy, Management;
– An experience in international project management is preferable;
– An experience in EU project (EU procedures) is an advantage;
– Fluent in English, verbal and written;
– Excellent knowledge of Word, Excel and Power Point;
– Ability to work in a minimum supervision and making decision based on the ARISE and EU procedures.

Conditions:
– Job to be provided immediately;
– Duration will be until November 2016;
– Place: Jakarta, available for travel in the region when needed.
