National Consultant: Face-to-Face Fundraising (F2F) Back-End - Surabaya, East Java

BACKGROUND
UNICEF has been working in Indonesia for more than 60 years towards ensuring the rights and wellbeing of children in Indonesia. We focus on social programmes such as health and nutrition, water and sanitation, education, child protection and fighting HIV/AIDS. UNICEF is funded entirely by voluntary contributions such as private fundraising, including contributions from individual donors who recruited via different techniques i.e. Face-to-Face Fundraising (F2F), Telemarketing and Digital. UNICEF Indonesia has started the pilot of in-house F2F operations since November 2014 and would like to continue by seeking an Individual Contractor to become F2F Back End and will be based in Surabaya, UNICEF Java Field Office. .

WORK ASSIGNMENT
Under the supervision of the Private Sector Fundraising Officer, the Face-to-Face Back-End is responsible for the successful F2F back-end operations management.

EXPECTED OUTPUT

Detail deliverables are as follows

  1. F2F Back-End Operations Management
    • Performed data entry donor forms and welcome call verification. The consultant must put donor data from the form in to a template excel file per batch on daily basis. Then each donor data must be verified by contacting the donor to welcome him/her as UNICEF donor and thank him/her for his/her generosity. By doing so, all donor data is valid and ready for submission to PFP unit for bank processing.
    • Maintained accurate records of donation data. This is very important to ensure high approval rate of every donation. If error data entry of one single credit card number, the transaction will be rejected hence will delay donation receipt.
    • Kept donor forms and data filed in proper manner. Since donor data is very sensitive information, original donor forms must be kept in locked cabinet and soft copy files (scanned form and excel) must be kept in a folder protected with password.
    • Ensured donation submission on regular basis to PFP unit in Jakarta for Bank processing. The consultant must work effectively that all donor forms submitted on daily basis is progressing on daily basis too. This is to ensure all donations are processed as soon as possible for high approval rate.
    • Monitored donation submission result for tracking facers performance. After the consultant submit the sales to PFP unit Jakarta, the consultant must keep record and track of the sales submission result, approve or reject by the bank. This will relate to facers performance evaluation. Which sales acquired and approved is belong to which fundraiser.
  2. Planning
    Planned F2F materials stocking, ensuring sufficient F2F materials are in place. The consultant needs regularly monitor the stock of F2F materials used by fundraisers i.e. pitch cards, uniforms, booths, donor forms, welcome pack, merchandises and display materials. Regular monitoring and coordination is recommended to prevent out of stock hence will impact to the performance of fundraisers.
  3. Reporting
    • Every month, the consultant submitted the following task that s/he performs on monthly basis. So that PFP unit can use this as a basis to donor data maintenance in central system (donor perfect) that is only available in Jakarta and also as a basis to pay fundraisers' fee.
    • Provided daily donation submission and result report
    • Provided daily fundraisers sales report
    • Provided daily fundraisers attendance
  4. Support F2F Coordinator and PFP Unit in Jakarta
    • Provided back-end support on fundraisers/Team Leaders recruitment by putting the approved vacancy announcement or by participating in Job Fair events as required, collecting CVs, and performing phone-screening
    • Action any other requests from PFP Unit
  5. Miscellaneous
    • The Back-End collaborated well with the whole team of F2F in Surabaya, especially with fundraisers to ensure quality donor forms to be input in daily submission.
    • Collaborated with F2F team member in Surabaya and PFP in Jakarta for day-to-day activities.
    • Collaborated with UNICEF staff of Surabaya Office
Ideal Profile of the consultant
  • At least Associate Degree (Diploma 1,2 or 3)
  • At least 3 years of experience in the Office support or administrative tasks
  • Meticulous in data/ details
  • Experienced in using Microsoft Office especially Excel.
  • Good Communication skill
  • It will be an advantage if the person has worked in Surabaya.
