Executive Admin Assistant - Jakarta

Due to organizational new structure, Plan Indonesia is looking for a dynamic staff to be based in our office for the position:

Executive Admin Assistant - Jakarta

Responsibilities:
1. Manage incoming call and general tasking
   T.1. Answer all incoming calls, handle caller’s inquiries whenever possible and relay telephone                  messages in CO
   T.2. Welcome the guest and good telephone /email etiquette.
   T.3. Coordinate circulation all general correspondence
   T.4. Mail and good deliveries
   T.5. Manage log book of agreement, Job Order and letter

2. Ticketing
   T.1. Arrange the PSO staff travel ticket
   T.2. Prepare the quarterly report for traveling in/outside Indonesia (with coordination with CO                    Administration Assistant if ticketing relate to meeting/workshop/ training)
   T.3. Prepare payment request to be review by CO Administration Coordinator

3. Office Facilities and Utilities
   T.1. Coordinate the visitor’s facility arrangement (Coordination with PSO Administration                          Coordinator)
   T.2. Manage office supplies and refreshment
   T.3. Prepare payment request for office utilities bills, courier bills, tickets, etc. 

4 Support CMT team Plan Indonesia

Indicators for success: 
1. CMT Minutes of Meeting
2. Visitor Update, International Travel, invitation Letter
3. Travel Report
4. Manage Expatriate (CD & BDM): related to Apartment, Bills, Internet +TV Cable
5. CMT Travel (CD Travel Request)
6. Update Calendar

Requirements:

Education : Bachelor Degree Social Science or Related ,administration and secretary
Knowledge and Skill: OM and adm local procedures and policy, Computer, Written communication, Interpersonal relation, Presentation, Accuracy in figures, Filing , Fluent in Indonesian and English (oral and written)
